Role Purpose:
The HVAC Service Dispatcher is a vital operational role designed to maximize the efficiency and responsiveness of Flo-Rite Mechanical’s Service department. By managing the real-time logistics of our field technicians, this role ensures that client needs are met promptly while optimizing technician travel time and billable hours. This position serves as the primary communications hub between our customers and our technical team to maintain high service standards and drive profitability.
Scope of Responsibilities:
- Strategic Scheduling & Routing: Analyze daily service calls to identify the most efficient technician assignments based on skill set, location, and urgency.
- Real-Time Logistics Management: Establish and monitor technician progress throughout the day to adjust schedules dynamically, ensuring performance benchmarks for response times are met.
- Process Standardization: Follow and help refine Standard Operating Procedures (SOPs) for call intake and dispatching to ensure team-wide consistency and service excellence.
- Data Integrity & Documentation: Perform data entry and "clean-up" within the dispatch software (BuildOps) to ensure all work orders, customer notes, and site histories are accurate and traceable.
- Operational Reporting: Build and manage daily dispatch logs and status reports to monitor technician utilization and departmental forecasting.
- On-Call Rotation Participation: Actively participate in the after-hours on-call rotation alongside other administrative staff members to ensure 24/7 operational continuity and emergency service support.
Qualifications & Skills:
- Experience: 2+ years of dispatching experience, preferably within the HVAC or mechanical trades industry.
- Technical Proficiency: Proficiency with Microsoft Products and dispatching software. Ability to swiftly achieve mastery in BuildOps to enhance existing scheduling workflows.
- Local Knowledge: Geographical knowledge of the San Antonio, TX metro area and surrounding Texas regions to support efficient routing.
- Soft Skills: Proven ability in cross-functional collaboration and high-pressure stakeholder management, aligning with our TRACI core values.
